Terms and Conditions

By registering your child for CAMP FUN CLUB LLC, you acknowledge that you have read, understand, and agree to the following policies and procedures.

 

 

Registration & Payment Policy

All camp registrations must be completed through our online registration system.

Payment may be made either:

  • In full at the time of registration, or
  •  Through an approved payment plan (until June 1st)

By selecting a payment plan, you authorize CAMP FUN CLUB LLC to automatically charge the credit or debit card on file according to the scheduled payment dates.

 

 

Declined Payments

If a scheduled payment is declined:

  • The system will automatically attempt to reprocess the payment for up to three (3) days following the initial decline. Parents must update payment information within 72 hours. (notification of declined payment will be sent via email on file)
  • If payment information is not updated within 72 hours, any promotional discounts, including Early Bird pricing, may be removed and the registration may be adjusted to the current standard rate.
  • Payment must be successfully processed prior to a camper attending camp. Campers with declined payments or outstanding balances may not attend until payment has been resolved.
  • CAMP FUN CLUB LLC reserves the right to cancel registrations or deny attendance if payment cannot be successfully processed.

 

Absence & Make-Up Credit Policy

We understand that children may occasionally miss camp due to illness, family plans, or other circumstances.

If your child needs to miss a scheduled camp day, CAMP FUN CLUB LLC will do our best to accommodate a make-up day when space is available.

  • Make-up days are offered as a courtesy and are not guaranteed.
  •  A maximum of five (5) absence make-up credits per camper may be issued during the camp season.
  • Make-up days are subject to availability and must be used within the current camp season.
  • Absences must be reported via email to campfunclubinfo@gmail.com before 12:00 PM on the same day in order to qualify for a make-up credit.
  • Make-up credits have no cash value and do not roll over to future seasons.

Refund Policy

Due to limited camp capacity and staffing requirements, CAMP FUN CLUB LLC maintains the following refund policy:

  • All registrations are generally non-refundable.
  • Camp credits may be issued in certain situations at the discretion of CAMP FUN CLUB LLC.

Credits may be used toward future summer camp days during the current camp season.

If a camper is unable to use issued make-up credits during the camp season, CAMP FUN CLUB LLC may, at its discretion, issue cash refunds for up to three (3) unused credited days per camper.

Approved refund days will be issued minus a $10 administrative processing fee per day.

Refund eligibility requires that make-up credits first be issued and remain unused.

Refunds will be processed at the end of the camp season if unused credits remain and a refund has been requested.

Parents must notify CAMP FUN CLUB LLC at least one (1) week prior to the final week of camp if they do not plan to use their remaining credits and wish to request a refund.

Refunds will be issued to the original form of payment.

Credits are non-transferable and expire at the end of the current camp season unless otherwise noted.

Make-up credits must be scheduled in advance and are not valid for walk-in attendance.

 

Medication Administration Policy

Medication administration at CAMP FUN CLUB LLC is provided as a courtesy for families.

If your camper has any allergies or medical conditions we should be aware of:

  • Parents must complete a Medical/Medication Authorization Form.
  • Medication must be provided in the original labeled container and handed directly to staff at check-in.
  • Prescription medications must include the child’s name and dosage instructions on the pharmacy label.
  • Over-the-counter medications may be administered only if listed on the Medical/Medication Authorization Form and provided in the original packaging with dosage instructions from the parent or guardian.
  • CAMP FUN CLUB LLC will not administer medication that is not properly labeled or if a Medical/Medication Authorization Form has not been completed.

Medication must go home with the camper each day. CAMP FUN CLUB LLC does not store medications overnight.

CAMP FUN CLUB LLC staff may administer basic first aid as needed.

 

Camp Times: 9:00 AM – 5:00 PM
Early Drop-Off: begins at 8:00 AM
Late Pick-Up: available until 5:30 PM
Early drop-off and late pick-up are included at no additional fee.

 

Groups

Campers are grouped by age to support safety and age-appropriate activities; however, we will not separate campers who would like to stay together (when possible). You may request group placement in your Parent Dashboard, and requests can be updated at any time.

  • Group 1: Ages 5–6
  • Group 2: Ages 7–9
  • Group 3: Ages 10–12

 

Arrival & Departure – Authorized Pick-Up Policy

For the safety of all campers, CAMP FUN CLUB LLC uses a secure electronic check-in and check-out system.

At arrival and departure, parents or authorized pick-up individuals must sign campers in and out using the secure PIN system provided through our registration software.

The authorized adult may enter their unique PIN on the camp check-in tablet to complete the sign-in or sign-out process.

If a parent or authorized individual forgets their PIN, it can be sent via text message to the phone number associated with the account.

If an individual cannot provide their PIN, they will be required to present a valid photo ID before a camper is released.

Only individuals listed as authorized pick-ups in the camper’s registration profile will be permitted to sign a child out of camp.

If there is a change to any authorized pick-up individual, or if an additional individual needs to be added, parents must update this information in their Parent Dashboard account.

For the safety of all campers, CAMP FUN CLUB LLC reserves the right to verify identification before releasing a camper when necessary.

 

Late Pick-Up Policy

All campers must be picked up no later than 5:30 PM.

If a parent or authorized pick-up individual anticipates being late, they should notify camp staff as soon as possible by calling or texting 412-763-5437.

A late pick-up fee of $1 per minute may be charged beginning 10 minutes after 5:30 PM (5:40 PM).

Late pick-up fees must be paid before the camper may attend their next scheduled camp day.

Repeated late pick-ups may result in additional fees or suspension from the program at the discretion of CAMP FUN CLUB LLC.

If a child has not been picked up by 5:30 PM and parents cannot be reached, CAMP FUN CLUB LLC will attempt to contact the authorized pick-up individuals and/or Emergency Contact(s) listed in the camper’s registration profile.

 

Early Pick-Up

Parents who need to pick up a camper early are welcome to call or text camp staff at 412-763-5437 to let us know in advance so we can have the camper ready when they arrive.

Early pick-up must still be completed through the camp check-out system using the authorized PIN or photo ID.

 

Illness Policy

For the health and safety of all campers and staff, children who are feeling unwell should remain at home.

Campers should not attend camp if they have any of the following symptoms:

  • Fever of 100°F or higher
  • Vomiting or diarrhea within the past 24 hours
  • Persistent cough
  • Unexplained rash
  • Any contagious illness

If a child becomes ill during the camp day, parents or authorized pick-up individuals will be contacted and may be asked to pick up the camper.

Campers may return to camp once they are fever-free for 24 hours without medication and symptoms have improved.

Parents should notify CAMP FUN CLUB LLC if their child has been diagnosed with a contagious illness so appropriate precautions can be taken.

If a camper is sent home due to illness before 12:30 PM, that day may qualify for a make-up credit under the Absence & Make-Up Credit Policy.

 

Bathroom / Toileting Policy

Campers attending CAMP FUN CLUB LLC are expected to be fully potty trained and able to use the restroom independently.

For safety and privacy reasons, camp staff are not permitted to assist campers with personal hygiene related to toileting, including wiping or changing clothing after accidents.

If a camper has a toileting accident and is unable to clean and change independently, a parent or authorized pick-up individual will be contacted and asked to pick up the camper.

Parents are encouraged to pack an extra change of clothes in their child’s bag in case of minor accidents.

Repeated toileting accidents may result in suspension from camp until the camper is able to manage restroom needs independently.

 

Toy & Electronics Guidelines

Our camp program is filled with active games, hands-on activities, and counselor-led programming. For this reason, CAMP FUN CLUB LLC discourages campers from bringing outside toys or electronic devices to camp.

If toys or electronic devices are brought to camp, they must remain in the camper’s backpack unless permitted by staff. Campers may access them during designated snack or lunch breaks.

Campers may also request access to their device if they need to contact a parent or guardian.

CAMP FUN CLUB LLC is not responsible for any lost, stolen, or damaged personal items brought to camp.

 

Media Release Consent

From time to time, CAMP FUN CLUB LLC may take photographs or videos of campers participating in camp activities.

These images may be used for marketing, promotional materials, social media, the CAMP FUN CLUB LLC website, or other camp-related publications.

By registering for camp, parents/guardians grant permission for CAMP FUN CLUB LLC to use photographs or video recordings of their child for promotional purposes. CAMP FUN CLUB LLC does not provide compensation for the use of photographs or video recordings.

 

Weather Policy

Weather permitting, campers will spend time outdoors each day. Fresh air and outdoor activity are an important part of the CAMP FUN CLUB LLC program.

Campers should arrive dressed appropriately for outdoor play and changing weather conditions.

CAMP FUN CLUB LLC provides a full day of programming even during rainy weather, with indoor activities planned daily.

In the event of excessive heat or extreme weather conditions, CAMP FUN CLUB LLC may operate on an adapted schedule to ensure the safety and comfort of campers.

In the event of a power outage or facility issue, CAMP FUN CLUB LLC will make reasonable attempts to contact parents with updates regarding camp operations.

 

Air Conditioning Statement

CAMP FUN CLUB LLC operates within a large indoor facility where some areas are air-conditioned while others are not.

During periods of excessive heat, campers will follow a structured schedule that rotates activities between air-conditioned and non-air-conditioned areas to ensure campers remain comfortable and safe.

Activities may be adapted or modified during extreme weather conditions, and additional breaks and hydration opportunities will be provided as needed.

 

Water Activity Policy

Water activities are offered throughout the camp season as part of the CAMP FUN CLUB LLC program.

Participation in water activities is optional.

Parents and guardians may choose to opt their child out of water activities at any time, and alternative activities will be provided for campers who do not participate.

Campers participating in water activities should bring appropriate clothing, water shoes, a towel, and a change of clothes.

Campers who do not bring a change of clothes and water shoes may not be able to participate in water activities

 

Lost & Found

CAMP FUN CLUB LLC understands that camp is an exciting environment and personal items may occasionally be misplaced.

Unclaimed items will be placed in the camp Lost & Found area near the exit for campers and parents to identify and claim at the end of each day.

Parents are encouraged to:

  • Label all personal belongings with the camper’s name.
  • Avoid sending new or valuable items to camp.
  • Remind campers to check the Lost & Found area if an item is missing.

CAMP FUN CLUB LLC is not responsible for lost, stolen, or damaged personal items.

Unclaimed items remaining in the Lost & Found at the end of the camp season may be donated or discarded.

 

Staffing – Training & Clearances

CAMP FUN CLUB LLC staff members complete extensive onboarding and training prior to the start of camp and continue to develop their skills throughout their employment.

Many staff members are CPR and basic First Aid certified.

All camp staff are required to obtain the appropriate background clearances as required by state law.

Staff members are trained to supervise campers in a safe, structured, and supportive environment and are expected to follow the policies and standards established by CAMP FUN CLUB LLC. All summer camp staff have their clearances. 

 

General Facility Rules

To keep camp fun, safe, and respectful for everyone, all campers, parents/guardians, and visitors must follow these facility rules:

  • Good sportsmanship is expected at all times. Respectful behavior and positive language are required.
  • No rude, inappropriate, or disrespectful language. Violations may result in immediate removal and/or suspension from CAMP FUN CLUB.
  • No food or drinks on fields or courts, except water. Campers are encouraged to bring a refillable water bottle to camp.
  • No chewing gum is permitted at any time.
  • No sunflower seeds or similar products are permitted in the facility.
  • No glass containers are permitted on fields or courts.

 

Behavior Policy

CAMP FUN CLUB LLC encourages and expects respectful, safe, and age-appropriate behavior from all campers. When a camper’s behavior is not acceptable, staff will clearly explain what behavior is expected and give the camper an opportunity to correct it.

Behavior Support & Consequences (Progressive Steps)

To help campers reset and return to the group successfully, CAMP FUN CLUB LLC uses a progressive approach:

  1. First incident: Staff provides a verbal reminder, explains expectations, and redirects the camper.
  2. Second incident: Camper will take a 15-minute “Reset Break” (time-out). The camper must sit in a designated chair/bench area, remain calm and quiet, and follow staff direction.
  3. Third incident: Camper will take a 30-minute Reset Break (time-out).
  4. Continued or escalating behavior: A parent/guardian will be contacted to discuss next steps, which may include early pick-up.

Immediate Parent Contact / Pick-Up

Staff will notify a parent/guardian immediately for persistent behavior issues or any behavior that creates a safety or health concern, including but not limited to:

  • Physical aggression (hitting, kicking, pushing, fighting)
  • Threats, intimidation, or harassment
  • Running away/elopement or refusing supervision
  • Repeated disruptive behavior after redirection
  • Bullying behaviors (see below)

In these cases, you may be required to pick up your child immediately.

Suspension / Expulsion

If behavior continues after parent contact and intervention, CAMP FUN CLUB LLC reserves the right to:

  • Suspend a camper pending discussion with the Camp Director, and/or
  • Permanently expel a camper from camp.

No Refunds / No Credits for Behavior-Related Removal

If a camper is picked up early, suspended, or expelled due to behavior, safety concerns, or violations of camp rules, no refund, credit, or make-up day will be issued for any missed camp time.

In the event that a camper’s behavior is deemed serious, CAMP FUN CLUB LLC staff reserves the right to skip the standard behavior protocol and to promptly contact the parent or guardian to discuss the situation and determine appropriate next steps or, where there is a significant safety concern, to contact appropriate legal authorities. 

 

Camp Bullying Statement

At CAMP FUN CLUB LLC, we believe every camper deserves a safe, inclusive, and respectful environment. Bullying—whether verbal, physical, social, or digital—is contrary to our camp values and can interfere with a child’s ability to fully participate and thrive. While we recognize that children may navigate social challenges during their time at camp, we take all reports of bullying seriously and strive to respond in a manner that is thoughtful, proportionate, and consistent with our overall behavior management approach. Our staff are trained to promote open communication and to support campers in resolving conflicts constructively. We encourage parents to partner with us in reinforcing respectful behavior and to alert us to any concerns. CAMP FUN CLUB LLC maintains a firm policy against bullying in all forms and acknowledges the lasting emotional and social impact it can have on children. We are committed to addressing bullying promptly and responsibly, with the goal of protecting camper well-being and maintaining a positive camp experience for all. If a camper’s behavior continues to reflect bullying despite reasonable intervention, CAMP FUN CLUB LLC reserves the right, at its discretion, to remove the camper from the program in order to protect the safety and experience of others.

 

Lunch and Snacks

Campers are responsible for bringing a lunch each day or pre-purchasing lunch online or at drop off. Snack breaks are offered in the morning and afternoon. Snacks are provided; however, families may also pack an additional snack and/or place funds in their campers spending account online or at drop off if they would like their camper to be able to buy extra drinks/snacks from our snack bar.

When packing food, please be mindful of other campers’ allergies. Label all food items and lunch boxes with your child’s name.

CAMP FUN CLUB LLC will not knowingly offer your child any snack that is associated with their documented allergy; however, we cannot guarantee that your child will not be around or exposed to food items brought by other campers.

 

What to Bring Every Day

Please label all items with your camper’s name.

  • Bagged lunch (if lunch was not purchased online or at check-in)
  • Snacks (optional): Campers have a morning snack break and an afternoon snack break. Snacks will also be provided by CAMP FUN CLUB at break time.
  • Spending Account (optional): You may add funds to your camper’s Spending Account online if you would like your camper to purchase additional drinks/snacks from our snack bar.
  • Apparel – It is important that your child be dressed appropriately for outside play. Children need to wear shoes that will permit them to run and play without injury.
  • Sneakers – Athletic, closed-toed footwear only ( Clogs, Crocs and flip-flop type shoes are not permitted. If your child wears this type of shoe to camp, they will notbe allowed to participate in the activities.)
  • Bookbag (According to regulations, medications, cosmetics or anything marked keep out of the reach of children are not permitted to be stored in your child’s backpack.)
  • Refillable water bottle
  • Socks
  • Hand towel (optional)
  • Hat
  • Sunscreen: Campers will be going outside every day. Please apply sunscreen before camp each morning. If your camper needs to reapply during the day, they may bring their own sunscreen; however, campers must be able to apply it independently. For safety reasons, we do not share sunscreen among campers, and staff do not assist with sunscreen application.
 

What to Bring on Water Days

(Participation is optional.)

  • Sunscreen: Please apply sunscreen to your camper in the morning before camp. For safety reasons, we do not share sunscreen among campers and staff do not assist with applying sunscreen.
  • Water shoes (required to participate): For safety reasons, if your camper forgets water shoes or a change of shoes, they will not be able to participate in Water Day.
  • Water clothes: Bathing suit or spare clothes they don’t mind getting wet
  • Change of clothes: A full change for after Water Day (shirt, shorts, underwear, socks, and shoes)
  • Towel
  • Bag for wet clothes

Water Day option: Your camper does not have to participate in Water Day. We go outside in groups, so campers who opt out may stay inside and play with other groups during Water Day rotations.

 

 

Locker Room Changing Note

Campers will change in gender-specific locker rooms. Staff will clear the locker rooms before campers enter to change, and staff will remain directly outside the locker room doors to ensure no one enters while campers are changing.

 

Verification and Agreement of Terms

By registering for CAMP FUN CLUB LLC and/or participating in programs operated by Sport Management Associates, LLC, the parent/guardian acknowledges and agrees that:

  • They have read, understand, and agree to all Camp Fun Club policies, procedures, and rules.
  • They understand that participation in camp activities involves inherent risks, including the risk of injury, and they voluntarily assume those risks on behalf of their child.
  • They understand that CAMP FUN CLUB LLC and Sport Management Associates, LLC, and each of their respective owners, officers, employees, volunteers, and agents, as well as any facility/venue owners and their representatives, are not responsible for injuries or accidents except to the extent caused by their gross negligence or willful misconduct, and only to the extent permitted by law.
  • They agree to follow all camp procedures and understand that policies may be updated as needed to support camper safety, operations, and program quality.
